Registration and Schedule

The allocation of clinical internship years at the UKD and the academic teaching hospitals of the HHU takes place for all students via the PJ portal for the nationwide online allocation of internship year training positions. In order to participate in this procedure, you must register there with your university e-mail address!

It is irrelevant when you create your personal account in the PJ portal during the registration phase. The point in time has no effect on the later registration. However, please note that a late registration will lead to a delay in the validation by the Dean of Studies and you will therefore be assigned a later start time for the local PJ occupancy!

When you are (potentially) ready to start your 6th year with the next clinical internship year cohort, we will validate your status in the portal. From this point on, you will have your own account and will be able to search for suitable subjects and hospitals within the portal, create a watch list with desired options for the three tertials and possible alternatives, and firmly book your places at the start of your occupancy.

If you have registered for a cohort and later discover that you do not want to/are unable to start the PJ in the selected cohort. You have to withdraw the clinical internship year in the PJ portal in due time (5 weeks before the start of the PJ)!

Progress of Registration

Here, all HHU students receive a start time for the local booking phase. This phase starts on a specific date. The dates can always be found in the list of dates on the right-hand side of the portal home page. The start times are assigned individually to the registered and validated students.

It is not possible to exchange the start time, however, you will receive the start time in time so that you have enough time to plan. In addition, you do not have to choose exactly from this time, but can book the entire booking period of the local phase. However, it is recommended to book as soon as possible in case of sought-after places. If booked in the 1st phase, the portal will close for you afterwards. So you can book only once in the 1st phase. Rebookings are possible at any time in the next phase.

After the local booking phase is finished, start times for the national booking phase will be sent. You will now also have access to the external universities. The booking function for the local phase is open again and it is possible to rebook your local places. There are no start times for this. The portal usually opens at 9am for all students. The local places can then also be changed as often as you like, up to 5 weeks before the respective tertial start.Deadline: Up to 5 weeks before the start of the respective tertial, the bookings must be fixed. Rebookings are then no longer possible! The places must be completed according to the bookings in the CIY portal. If tertials are not properly completed, they can not be recognized!

In this phase, students are also entitled to book the places of the other universities. The national booking phase begins with the nationwide standardized deadline, which can be viewed in the deadline list. Here individual start times were distributed, from which the students can book their national places.

Here the portal does not close in between. The students can also rebook the national places always up to 5 weeks before the respective tertial start as often as they want.

The following schedule applies to the allocation of slots at the UKD and the HHU Academic Teaching Hospitals in the cohort that begins the clinical internship year in the fall of 2024:

End of the deadline for submitting suitable evidence on hardship applications. (PJ students with special circumstances)

15.05.2024 Students registering after 11/30/2023 will be validated by the Dean of Students Office with a time delay and thus receive a later start time for the local registration for the clinical internship year!

21.05.2024 – 28.05.2024 1st Phase : Local
If a booking is made in the 1st local phase, the portal closes for you. This means that you can only book once in the first phase. Rebookings are possible at any time in the next phase.

From this point on, changes can be made to the allocation; until the start of the national allocation procedure, "only" the clinical internship years at the UKD and at the academic teaching hospitals of the HHU will continue to be available for selection.
 
22.07.2024 3rd Phase: Start of national registration
Students can also rebook the national places as often as they like until 5 weeks before the start of the respective tertial, after that the portal for the respective tertial closes and rebookings are no longer possible! For a rebooking within the deadline, no approval of the subjects or clinics or the Dean of Studies is required. After the 5-week period has expired, the booking can no longer be changed!
14.10.2024 Portal closes for the 1st tertial at midnight. After that time, changes are no longer possible and booked seats must be taken.
03.02.2025 Portal closes for the 2nd tertial at midnight. After that time, changes are no longer possible and booked seats must be taken.
26.05.2025 Portal closes for the 3rd tertial at midnight. After that time, changes are no longer possible and booked seats must be taken.

The administrators of the PJ portal will automatically inform you when you can book the PJ places. You do not need to do anything else. Each student is allocated a time from which places can be booked in the PJ portal. These start times are staggered so that server overload can be prevented. Nobody has to worry about being left empty-handed or only being able to take up places that are geographically unattractive and/or involve a lot of effort!

During the booking phase, you can use your watch list to see in which subjects in which hospitals and in which tertials places are still available and book them directly. This means you are guaranteed these places!

With the start of the national allocation procedure, you have the opportunity to change your allocation. You no longer "only" have access to the PJ places at the UKD and the academic teaching hospitals of the HHU; you also have the option of accessing PJ places at other German universities that participate in the PJ portal. If you want to change your PJ schedule, this is only possible if you release the already booked place in the respective tertial at the same time as booking the new place. This allows you to see in real time which hospitals and departments still have capacity in your desired tertial. If you change your booking, you are also guaranteed a new PJ place. In this dynamic system, places are always being released and others taken, so it may be worthwhile for you to keep checking the PJ portal. Even if you did not get your preferred place in the first round of bookings, there is a chance that you may still be able to get it later if another student cancels.
